Set-Up Please note the floor diagram at the Volunteer Check In/Job Description table in the front
1. These people are responsible for setting up prior to the sale.
2. Assembling all racks, tables, containers, any and all items for the sale according to the diagram at 

the end of this binder.
3. Responsible for posting all signage and information for the sale.
4. Place tables double wide to avoid items being placed on the floor.
5. Place laundry baskets along the perimeters for shoes, lace the baskets with rope or twine as buyers tend to use these to hold their potential purchases.
6.Special care must be taken not to scratch, scrape, or harm the floor in any way!! This is essential to our sale remaining at First Baptist Family Life Center. Anyone harming the floor will be hosting the next sale in their home! Please pay special attention to the floor!
a. The racks have been sorted through so that there are only one type of racks for each type.
There will be a rack already assembled for your guide.
b. Please pay special attention not to tighten too tightly or loosely the nuts that hold the racks together.
c. The last few racks are missing bars, we use these for costumes, coats, and large bulky items.
Check In Sellers / Quality Control & Sorting
Check In person needs the Check In Clipboard that has a list of sellers and check in times. Politely explain to sellers there are to be no children during drop off . It is a very dangerous area with rolling racks, boxes, and leaning towers of clothing.
Completes CHECK IN forms.
Both Check In and Quality Control have the responsibilities to go through all of the seller’s items to verify:
1. How many items they are selling
2. Items are not stained, dirty, damaged, known to be recalled, no batteries, adult sizes (not maternity)
3. Verify the seller understands pick up times and risks involved in selling
4. Verify with seller the volunteer shifts they have signed up for. And if not, there is still room for 
volunteers.
5. The tags are appropriately printed and attached to items for sale
6. Items are for the correct season
7. Large equipment is clean. Items are not to have water in them.
a. It is your responsibility to tell the sellers that certain items are not acceptable in the sale. Please do not allow items that are stained, dirty, old and not sell-worthy into our sale. It affects everyone involved.
b. There will be approximately 6 sellers arriving per 15 minutes. Help the sellers get their items off the temporary racks as quickly as possible so the next time slot can enter.
c. Have the seller read the declaration on your clipboard in regards to the notices of selling at their own risk, pick up time and who is eligible for pre-sale tickets.
d. The seller needs to be instructed to take CHECK-IN form to Coordinator’s table to receive presale admittance tickets.
Tag Puller
This person prepares the items a buyer is purchasing for the cashier to check them out.
1.
Removes tags and counts the number of items
2.
Removes hangers (if time allows) and place in hanger box
3.
Count tags to verify items = tags
4.
Write the number of total items on the back of ONE tag and place all tags in baggie and close baggie
5.
Radio’s to Large equipment people to pull the certain large item buyer intends to buy.
6.
Places items into bags if there aren’t bagger volunteers available
7.
Instructs buyers to pre-write checks to FBC and have driver’s license ready for cashier before getting to cashier tables.
Bagger
This person puts items into bags for the buyer. You will need to count items as they are placed in the bags to verify the number of items equal the number written inside the baggie. Hand baggie to Cashier to check out. Hold buyer back until large equipment item is retrieved from area. Instructs buyers to pre-write checks to First Baptist Church or FBC and have drivers license ready for cashier prior to getting to the cashier table.
Large Equipment Area
Area should have 4 people to operate: two people giving tags to buyers; 1 person moving “potential purchases” to holding area; and 1 person taking tags to cashiers for items to be purchased.
Taggers will inform buyer they have one hour to pay for and pick up the item they wish to purchase. Tagger will complete and give buyers ½ of tab (index card) that allows the buyer to purchase item. Tagger will tape the other portion of the tab on the item. Put basic item description (crib, pink bike, stroller, etc.), buyer’s name and hold time on top half and give to buyer. Put buyer’s name and hold time on bottom half of card and tape to item. Make sure that the numbers on top and bottom halves match.
Mover will move item to holding tank for one hour for buyer to pay and pick up. Once runner is informed that buyer has paid for item, mover will move the item closer to exit for buyer to take home. Mover will frequently check items that have not been picked up with in the hours limit. Those items that exceed the limit will be replaced into the selling area. Be careful doing this as the buyer may be in line to purchase the item. It may be a good idea to radio to bagger/cashier to announce a last name in case they are in line to pay. When someone comes to pick up a paid item, the mover will match up the two halves of the index cards. Make sure the numbers match and that the card that the buyer gives you has been marked “Paid” and initialed by the cashier before you hand over the item.
Runner will communicate with baggers and cashiers of when the buyers are ready for their items via walkie talkies. The runner will take the colored ½ index card from the buyer at checkout (tag pullers or cashiers will notify you when they need you to run a tag). They will then match the index card with the other half that is taped on the item. Do not remove the index card from the item at this time. Cut the bottom portion of the barcode tag off and write the barcode number on the top part (remaining on the item). Tape the barcode tag from the item to the ½ index card that you received from the buyer and bring to the appropriate cashier.
Clothing Sort / Returned Items
These people assure items are in their correct area; boy, girl, toy, shoes etc. Items are not to be lying on the floor, against walls, or in corners, unless it’s intended by sale operation. There will be a return item rack that buyers will place items on that they have decided not to buy. This area will need to be checked frequently and items put back. They will also need to downsize racks and combine sizes to eliminate excess racks on the floor once clothing begins to thin out. They are the eyes and ears for the coordinators of the sale--if there is suspected “thievery” happening, problem situations, or injuries, please inform the coordinators or cashiers.
Return Items/Take Down
The responsibility for this position is to downsize the racks. Pick up items that are on the floors and return them for sale, until Half Price. Once the sale is over at 2pm sharp! It is now time to take down for seller pick up.

Sort Pick-up / Clean-up
Under no circumstances may a volunteer take something from the donation pile.
This is not fair to anyone and it can jeopardize our reputation and charity affiliation. Anyone who does will not be able to sell with us in the future.
1. Go through all the clothing and find the donated items. Put all donated items on an empty rack.
2. There should be one person who will go through the donate clothes rack and re-verify these items are for sure to be donated.
3. The items are then gently and neatly placed on the floor. (remove the nice hangers if you like to share with your team)
4. The remaining items for sellers to pick up are to be sorted by seller number.
5. Sort an area at a time. Do one whole rack at a time.
6. First place the clothing in number order. Each person can do this on a separate rack. But at a certain time merge each individual sorting area into one large one.
7. There are 2 sizer rings that have sellers number on it. One is to be placed on the racks in numerical order.
8. Use the second set of sizer rings with the sellers numbers on the floor for toys, books videos etc.

9. Shoes, toys, videos, books, etc. will all need to be sorted on the floor by seller numbers.
a. Shoes- unhook the baskets with rope and sort first.
b. Use baskets the shoes were in to hold and transport other items to the seller number pick up area.
c. Large items- if the item is easily transportable to the pick up area go ahead and move it. But if it takes two people to carry it, use the Large Item pick up sheets and list how many items there are to be picked up in the large equipment area.
10. All tables need to closed up and returned to the garage looking door to the back right of the FLC.
11. All tables in the break room need to be cleaned off and neatly arranged.
12. All clothing racks need to be disassembled. Each container is labeled with what piece goes in them.
13. Please do not just dump parts everywhere. It needs to be put away neatly for an easier sale next time.
14. There is a head person who knows where things need to go and in what order--please find this person if you are having problems.
Cashier
This position, due to its large responsibility, is by invitation only. Handles money and checks out buyer’s purchases. Cashier is not to leave the cash box or computer unattended at any time. Coordinators are the only people to substitute during the cashiers shifts. Cashiers are to notify coordinators when they need change or have a problem with a buyer, tag or large equipment.
Door / Greeter
The responsibilities are to maintain a locked door. This is for prior to the pre-sale on Friday, the sale on Saturday, and half price Saturday.
Heads
This position is responsible for a specific area and receives direction from the coordinator. This person is required to be at the sale for multiple shifts (varies depending on area) because they are responsible for the training and coordination of their team, and directing new volunteers as they arrive for their shifts.
Coordinator
This person is the contact person for all other positions. If there is a serious problem or question as to layout or process this is the person you need to contact. At this time it is Gaylynn.
